This Privacy Policy explains how The Electrician Suite ("we," "us," or "our") collects, uses, and shares information when you visit our website or use our platform — including job management, quoting and invoicing, payments, the finance and bookkeeping tools, the client portal, and messaging.

1. Who controls your data

The Electrician Suite acts in two different roles depending on the data:

  • For you as an account holder or visitor, we are the controller of your account, billing, and usage data, and this policy governs how we handle it.
  • For the customer records you put into the platform (your clients' contacts, jobs, quotes, invoices, documents, portal access, and messages), you are the controller and we act as a processor on your behalf — we use that data only to operate the service for you and per your instructions. If you are a client of one of our users, please direct privacy requests to that business; we will assist them in responding.

2. Information we collect

Information you provide

  • Account and company data (name, email, phone, business details) when you sign up or invite team members.
  • Content you create (projects, jobs, calculations, quotes, invoices, expenses, jobsite notes, photos, and documents).
  • Customer and contact details you add so you can quote, invoice, message, and grant portal access.
  • Billing contact and tax details used for your subscription and, where applicable, your own invoicing.
  • Contact form submissions, messages, and support requests.

Information collected automatically

  • Device and browser information (operating system, browser type, language).
  • Usage data (pages viewed, actions taken, timestamps, and feature usage).
  • Approximate location derived from IP address.
  • Cookies and similar technologies used to keep you signed in and to remember preferences.

Information from third parties

  • Confirmations and limited status data from our payment processor when a payment is made.
  • Deliverability and engagement signals from our email provider for messages sent through the platform.

3. Payment information

Subscription payments — and any payments your own clients make to you through the platform — are processed by a third-party payment processor (Stripe). We do not store full card numbers; we receive only limited information such as the card brand, the last four digits, and the transaction status. The processor handles card data under its own terms and security standards.

4. How we use information

  • Provide, operate, secure, and maintain the platform and its features.
  • Process payments, manage subscriptions, and send transactional and service messages.
  • Deliver communications (emails, portal updates, notifications) you or your customers expect.
  • Respond to support inquiries and contact-form submissions.
  • Improve product performance, reliability, and security, and analyze which features are most valuable.
  • Detect, prevent, and address fraud, abuse, and technical issues, and comply with legal obligations.

5. Cookies & analytics

We use essential cookies to keep you signed in and remember your preferences. We may use privacy-conscious analytics to understand aggregate traffic and improve the site. You can control cookies through your browser settings.

6. How we share information

We do not sell your personal information. We share data only with service providers who help us operate the platform — including cloud hosting and storage, our payment processor, email and messaging delivery, and analytics. These providers (sub-processors) are bound to process data only for our purposes. We may also disclose information to comply with the law, enforce our terms, or protect the rights, safety, and security of our users and the platform, and in connection with a merger, acquisition, or sale of assets.

7. Email & communications

We send transactional messages (such as account, billing, and security notices) and, on your behalf, messages to your customers (such as quotes, invoices, portal invitations, and replies you initiate). You can control optional notifications in your settings; some service messages are required to operate your account.

8. Data retention & deletion

We retain information for as long as needed to provide the service and to comply with legal, accounting, and tax obligations. You can request deletion of your account; deleted accounts are moved to a recoverable state for a limited window (currently 30 days) before being permanently removed, except where longer retention is legally required. Some records (for example, billing and tax records) may be retained as required by law.

9. Security

We use industry-standard safeguards, including HTTPS in transit, authentication, and access controls. No system is 100% secure, but we continuously work to protect your data and limit access to those who need it to operate the service.

10. Your rights

Depending on your state of residence (for example, California and other U.S. states with privacy laws), you may have rights to access, correct, delete, or obtain a copy of your personal information, and to opt out of certain processing. Contact us to submit a request; we will verify and respond as required by applicable law. If your request concerns data a The Electrician Suite user holds about you, we will route it to that business.

11. Children's privacy

The Electrician Suite is intended for businesses and is not directed to children under 13. We do not knowingly collect personal information from children.

12. Data location

Our platform and providers are based in the United States, and your information is processed and stored there. By using the service, you understand that your information may be processed in the United States.

13. Changes to this policy

We may update this Privacy Policy from time to time. Material changes will be posted on this page with a revised effective date.
